Privacy Policy

We collect information necessary to manage events, send updates, and improve our websites, in accordance with Canadian privacy law (PIPEDA) and Canada’s Anti-Spam Legislation (CASL). This policy explains what data we collect, how it’s used, and how you can manage your privacy preferences.

1. Who We Are

alienInFlux Sound System is an event promoter and sound system rental service. Owner Justin Martin manages all operations, including privacy matters. If you have any questions or requests about your personal information, you can reach Justin at justin@alieninflux.ca.

2. What Personal Data We Collect

We collect personal information such as:

  • Name, email, phone, and payment info at ticket checkout
  • Comments you leave on our site
  • Analytics data via cookie technologies

This data helps us provide tickets, event updates, customer support, and improve your browsing experience.

3. Email Communications

  • Tickets: A ticket purchase creates an existing business relationship under CASL. This allows us to send you essential event information, reminders, and promotional messages about similar events for up to 2 years from your last transaction, unless you unsubscribe.
  • Subscription Form: If you sign up for our newsletter or SMS alerts through one of our websites, you provide express consent to receive promotional communications from us. This consent does not expire and continues until you unsubscribe.

You can unsubscribe from promotional messages at any time using the instructions and link provided. Essential messages may still be sent if required for your event.

We use MailerLite, an email service provider based in the European Union, to send newsletters and event updates. Your email information may be stored or processed outside of Canada and is subject to the laws of those jurisdictions. It is encrypted, stored securely, and accessible only to authorized personnel. We never sell your information.

4. Cookies & Tracking

No Algorithm

Our homegrown websites (alienInFlux.ca and harvestfestival.org) and our emails work differently from ad-driven social media such as Facebook, Instagram, and X. We don’t use behavioural tracking or create ads based on what you do. We don’t use artificial intelligence to study, rate, follow, or guess what you might do next online. Unlike many corporate platforms, we don’t create files about you for advertising purposes. Simply put: we don’t rate you, score you, create profiles about you, or control what information you see.

Your privacy matters to us. However, we do use minimal tools to improve our website. Our website analytics are used in aggregate form to understand general traffic trends and improve site performance:

  • Essential cookies: Required for site functions like security and navigation. Cannot be disabled.
  • Analytics cookies: Used to analyze traffic trends and improve user experience. You can opt out via browser settings or add-ons.

If you leave a comment, you may opt in to save your name, email, and website in cookies for convenience (stored for 1 year).

5. Embedded Content

Embedded content (e.g., SoundCloud, YouTube, Vimeo, and Instagram) behaves as if you visited the other website. These platforms may collect data, use cookies, and track interactions. We are not responsible for their privacy practices.

6. Ticketing & Third-Party Services

We use TicketWeb to process event ticket purchases. When you buy a ticket, your personal information is collected and processed by TicketWeb on our behalf. This data may be stored outside Canada and is subject to the laws of those jurisdictions. We require our service providers to protect your information in accordance with applicable privacy laws.

As the event producer, alienInFlux may share your personal information with TicketWeb to process your order, deliver tickets, and provide customer service. TicketWeb may also use your data for marketing communications, accessibility information, transaction processing, and tracking via cookies or other technologies.

You are responsible for complying with TicketWeb’s account, conduct, and copyright policies. alienInFlux is not responsible for TicketWeb errors, ticket issues, or user disputes. All purchases, refunds, and disputes are handled solely by TicketWeb under their Purchase Policy, and TicketWeb owns and controls the content and transactions on its platform.

8. Photography and Videography

Our events include public photography and videography. By attending, you acknowledge that images or recordings may be captured in public areas by attendees and used for our promotional purposes with their permission and their artist credit. If you’d prefer not to be photographed, please indicate your preference to the person taking photos so they know to avoid including you.

9. Who We Share Your Data With

We do not sell your data. We only share your information with service providers necessary to:

  • Process orders and deliver tickets
  • Send emails and SMS (if applicable in future)
  • Manage events and improve the website

Transfers outside Canada are protected with secure measures in accordance with Canadian privacy law.

10. How Long We Retain Your Data

We keep personal information only as long as necessary to provide services, fulfill legal obligations, or meet security requirements:

  • Comments: Retained while the website is active
  • Ticketing and marketing data: Typically retained up to 2 years after your last transaction or activity

11. Your Rights

You can:

  • Request a copy of your personal data
  • Request the deletion of your data
  • Withdraw consent at any time

Exceptions may apply where data must be retained for legal, security, or administrative purposes.

12. Where We Send Your Data

  • Visitor comments under posts may be checked through Akismet, an automated spam detection service.
  • Names and email addresses are stored with MailerLite in the EU with encryption and restricted access.
